JOB: Sales & Events Coordinator

An exciting opportunity has arisen at House for an Art Lover for a Sales and Events Co-Ordinator. 
 
Working within the Conference, Wedding & Events Sales Department, the Events Co-Ordinator will collate, co-ordinate and distribute Conference & Event information between clients and internal departments, whilst ensuring the highest standards of service are achieved. Your duties will entail maintaining a good working relationship with existing clients, while ensuring that final details and contracts are collated and issued in a timely manner. You are responsible for ensuring all enquiries are followed up to actively convert provisional reservations into confirmed bookings, this will include accurate handling and recording of payments. The role will require you to have a good understanding of the operational requirements within Conference and Banqueting including facilities, set-ups and services available. 
 
The ideal candidate will have previous experience in a similar role, preferably with a working knowledge of a hospitality operating system. You must be able to meet deadlines and have an excellent telephone manner, including the ability to provide exceptional customer service with a can do attitude. Excellent organisation skills with an attention to detail and the ability to multi-task are essential. 
 
40 hours per week to include some weekend work (approx 1 weekend per month) Office hours, however flexibility is required. 
 
 
Duties include:
  • Answering phones 
  • Responding to and converting enquiries 
  • Chasing provisional bookings 
  • Producing contracts and business sheets to the client’s exact requirements 
  • Collate and issue function sheets 
  • Ensuring all client deadlines are met
  • Hold weekly function sheet meetings 
  • Knowledge and understanding of figures to carry out reporting 
  • General office admin – filing correspondence, managing customer feedback
  • Appointments and show rounds with clients 
  • Keeping the system up to date with client updates and correspondence
  • Administration of sales for in house events
  • Attend in house and external wedding open days and shows as required 
  • Assist in other roles within the events office as required
